Bill cycles

Use this page to explain bill cycles to customers and determine if an account is eligible for a bill cycle change.

Bill cycle information

Use this section to understand how bill cycles are assigned and how close dates work.

  • When creating a new account, make sure the bill cycle is the same as the old account. Bill calculation happens nine days before the bill confirms.
  • Individual-MCSA accounts that are not on the same bill cycle as the corporate node experience billing delays.
  • MCSA/GSA account bill cycles automatically change to match the corporate node.

Close date

  • The close date is the last day of a customer's bill cycle, decides the due date, and when the statement is mailed/available online.
  • Close dates are automatically assigned at activation. A preferred date can't be manually selected.
  • After a cycle closes, billed usage is not viewable until the bill is confirmed in Samson.
  • Close dates can fluctuate, for many reasons, such as how many days in a month, late billables, discount delays, new activations, change of responsibility, promotions, or system issues.
  • Customers receive notification of bill availability 3 to 4 days after bill cycle close, and payment is due approximately 20 to 24 days from cycle close​.

Account eligibility

EligibleNot eligible
  • Correct a previous cycle change completed in error.
  • Payment history reflects a minimum of six payments made consistently and in full within a five-day window each month.
  • If account is restored from suspend/cancellation, account must be active more than 60 days otherwise the statement may be delayed in the cycle following the change.

Exception: If the customer doesn't meet all these requirements, work with your coach to approve an exception to change the bill cycle for the customer.

  • Account has had a previous bill cycle change. You can reach out to your Coach for an exception to complete a 2nd bill cycle change.
  • Account is attached to a Corporate Node and information is populated in the CA Info field.
  • No Credit Check (NCC) accounts
  • Payment history shows late payments (not made within 5 days of the due date) made in the last six months.

Bill cycle changes

Account impacts

  • New close date is greater than 6 days from current close date:
    • The customer completes their current bill cycle, and then they have one short, prorated bill ending on the new close date
    • The next bill they receive after that will be a full bill with the new close date.
  • New close date is 6 days or fewer from current close date:
    • The customer completes their current bill cycle, and then they have two short, prorated bills.
      • The first prorated bill has a temporary close date at least 6 days away from the new close date.
        • Because it can take up to 6 days for a bill to generate, this temporary cycle is needed to establish the new close date.
        • Fees and installments (EIP/HPP) are only be charged on this first prorated bill.
      • The second prorated bill closes on the new close date. Fees and installments (EIP/HPP) are not charged on this prorated bill.
    • The next bill they receive after that will be a full bill with the new close date.

With a Bill Arrears account, you are billed, for charges within your billing cycle, but you pay after the end of that cycle.

  • The first bill after the cycle change will be from your old cycle close date.
  • The following bill will be a smaller prorated bill for a partial billing cycle, covering the time from the end of your old billing cycle to the beginning of your new one. It will reflect your new bill due date.
  • This means that to move to a new billing cycle, you will have two bill payments due in a short amount of time.
  • Automatic bill credits are prorated when the MRC is prorated.
  • All bills afterward will be for one month's charges, for your new billing cycle and due date.
  • Installments for Extended Payment Schedules will be included on each new billing statement, including those prorated due to the billing cycle change.
  • EIP monthly device charges will not be charged on your prorated bill. You will see an installment on each new, full billing statement.
  • If you are set up on AutoPay, your payments will automatically process according to your original due date, and your new due date once your cycle change goes into effect.

With a Bill Current account, your account is billed for your billing cycle, and your due date for these charges is within that same bill cycle.

  • As you are billed just after your billing cycle begins, you will have two bill payments due in a short amount of time if you move your account to a new billing cycle.
    • Customer is billed a full bill following the cycle change based on their previous cycle close date. (Larger bill with pro-rated charges.)
    • The next statement received is from the old cycle close date to the new cycle close date. (Smaller bill)
  • Automatic bill credits are prorated when the MRC is prorated.
  • All bills afterward will be one month’s charges, with your new billing cycle and due date.
  • Installments for Extended Payment Schedules will be included on each new billing statement, including those prorated due to the billing cycle change.
  • EIP monthly device charges will be included on each new billing statement, including those prorated due to the billing cycle change.
  • If you are set up on AutoPay, your payments will automatically process according to your original due date, and your new due date once your cycle change goes into effect.

Change the bill cycle

  1. Verify you are speaking with the billing responsible party (BRP). Only the BRP can request a bill cycle change.
  2. Tell your customer their new close date will take effect after their current cycle ends.
  3. Review postpaid due date bill cycle chart below, to figure out what close date meets your customer's needs.
  4. Confirm the new close date, and bill due date with your customer.
  5. Change the account's Close Date. Scroll through the list to find all available dates.
  6. Give the new close date and monthly due date.
  7. Explain that self-help options may be inaccurate until the cycle closes on their first new close date.
  8. Memo the account, including the reason for the change.
  9. If the customer is changing to a close date that is fewer than 6 days from current bill cycle, the customer completes their current bill cycle then two short, prorated bills. See above Bill cycle changes for Proration after cycle changes.

Delete pending bill cycle change

  1. Double-click the Close box on the "Financial Summary" tab.
  2. Select the Delete Pending Request button in the "Change Cycle" window. This button will be highlighted if the action is available.

Bill cycle dates

Tell your customer:

  • Dates listed are the earliest the bill will be available and due.
  • AutoPay:
    • Customers who previously selected a specific date as their autopay withdrawal date might need to select a new date.
    •  If no date was preselected, AutoPay typically withdraws about 2 days before to bill due date. However, for bill cycle close dates 8 & 9, Autopay withdrawal will process no earlier than 5 days prior to the due date. 
    • If withdrawal date has passed, the customer may need to make a one-time payment.
  • Mailed bills should be delivered on or around the date online bills are available (if applicable).
